Hotelzz.in ("we", "us", "our") operates the website https://hotelzz.in (the "Platform"). This Privacy Policy explains how we collect, use, disclose, and protect your personal information when you use the Platform or interact with us on WhatsApp, phone, or email.
This Privacy Policy is published in compliance with:
- The Information Technology Act, 2000 ("IT Act");
- The Information Technology (Reasonable Security Practices and Procedures and Sensitive Personal Data or Information) Rules, 2011 ("SPDI Rules"); and
- The Information Technology (Intermediary Guidelines and Digital Media Ethics Code) Rules, 2021.
By using the Platform or submitting any form, you consent to the collection and use of your information in accordance with this Policy.
1. Information We Collect
1.1 Personal Information you provide
When you submit a booking enquiry, marketing services request, or contact form, we collect:
- Full name
- WhatsApp / mobile phone number
- Email address (when provided)
- Hotel/property name and location (for hoteliers using marketing services)
- Travel details — check-in/check-out dates, number of guests, special requests
- Free-form notes you choose to share
1.2 Information collected automatically
- Browser metadata: User agent string and the page on which the form was submitted (used solely to debug issues and attribute traffic to marketing channels).
- Local storage: The Platform caches non-personal listing data in your browser's
localStoragefor up to 30 minutes to improve page load speed. This cache contains no personal information. - UTM parameters: If you arrive via an advertising or referral link, the source/medium/campaign tags are appended to the WhatsApp message we receive, so we know where the enquiry originated.
1.3 Sensitive Personal Data or Information ("SPDI")
We do not collect financial information (passwords, credit/debit card numbers, bank details), biometric information, health/medical records, or any other category defined as SPDI under Rule 3 of the SPDI Rules.
2. Purposes of Use
We process your personal information only for the following purposes:
- To respond to your enquiry on WhatsApp, phone, or email.
- To facilitate your booking by sharing relevant details with the hotel/homestay you have asked us to contact.
- To provide marketing services if you are a hotelier and have requested a quote, audit, or onboarding.
- To improve the Platform through aggregated, anonymised analytics.
- To comply with applicable law, court orders, and regulatory requests.
3. How We Store Information
Form submissions are written to a private Google Sheet hosted on Google Workspace, accessible only to authorised members of the Hotelzz team. Google's data centres are ISO 27001, ISO 27017, ISO 27018, and SOC 2/3 certified. We retain enquiry data for as long as necessary to serve your request and for a reasonable follow-up window thereafter, typically not exceeding 24 months from the date of enquiry, unless a longer period is required by law.
4. Sharing & Disclosure
We share your personal information only in the following limited circumstances:
- With the hotel you have asked us to contact: Your name, phone, email, dates and special requests are shared with the property to confirm availability and complete your booking.
- With service providers who help us run the Platform (e.g. Google Workspace for email/Sheets, hosting providers, WhatsApp Business). These providers are contractually obligated to protect your information.
- With law enforcement or regulators when required by a valid legal order under Indian law.
We do not sell, rent, or trade your personal information to third parties for their independent marketing purposes.
5. Cookies & Tracking
The Platform uses minimal browser storage:
- localStorage cache for hotel listings (described in §1.2 above).
- Analytics (e.g. Google Analytics) may be enabled in future to measure aggregate traffic patterns. If enabled, you will be informed via a cookie banner with the option to opt out.
We do not currently use third-party advertising trackers.
6. Your Rights
Subject to applicable law, you have the right to:
- Access the personal information we hold about you.
- Correct inaccurate or outdated data.
- Withdraw consent previously given for processing.
- Request deletion of your personal information, subject to overriding legal obligations.
- Opt out of further communications by replying STOP on WhatsApp or emailing us.

7. Data Security
We implement reasonable technical and organisational measures, including:
- HTTPS encryption for all data in transit.
- Restricted access to the Leads Sheet — only authorised Hotelzz team members.
- Server-side processing via Google Apps Script (no public database endpoints).
While we strive to protect your information, no internet transmission is 100% secure. By using the Platform, you accept this inherent risk.
8. Children's Privacy
The Platform is intended for users 18 years of age or older. We do not knowingly collect personal information from children. If you believe a minor has submitted personal information to us, please contact the Grievance Officer and we will delete it promptly.
9. Changes to this Policy
We may update this Privacy Policy from time to time. The "Last updated" date at the top of this page reflects the most recent revision. Material changes will be highlighted on the Platform. Your continued use of the Platform after changes are posted constitutes acceptance of the revised Policy.
10. Governing Law & Jurisdiction
This Policy is governed by the laws of India. All disputes arising out of or in connection with this Policy shall be subject to the exclusive jurisdiction of the courts at Mumbai, Maharashtra.
